Position Summary

The Mortgage Administrator is responsible for the preparation of legal documents pertaining to the mortgage advance process; registration of properties and the preparation of discharge statements. The incumbent will also maintain and update relevant month-end reporting and recommend changes to policies and procedures for consideration when required.

Duties and Responsibilities

  • Prepare all documentation for mortgage loans, mortgage renewals and discharges which includes correspondence with lawyers, First Canadian Title Insurance and Genworth Canada.

  • Completes the mortgage administration process by:

    • liaising with solicitors and branch staff; prepares, controls and processes of documentation.

    • assisting with the preparation of the disbursement of funds and payment of fees

    • preparing and inputting of status and GLs entries as required

    • maintaining mortgage commitment records

    • processing completion records

  • Prepares documents for mortgage renewals and complete system updates.

  • Registers all PPSA’s as required and process discharges on all paid out loans.

  • Provides branches with calculations on: mortgage and loan payouts and penalties; interest rates for Blend and Extend mortgages as requested.

  • Acts as liaison between the credit union and various mortgage carriers and First Canadian Title Insurance; balances and reconciles mortgage ledger accounts.

  • Prepares and records members’ requests for disability insurance claims. Records disability payments and posts payments to members’ accounts. Handles members’ request to cancel disability insurance and process refund.

  • Maintains all mortgage loan files.

  • Maintains up-to-date knowledge of credit union lending and deposit services and products and relevant policies and legislation by regularly reviewing literature and attending update meetings.

  • Maintenance of insurance endorsements.

  • Assists in the preparation of month-end reports for senior management.

  • Recommends changes to policies and procedures in Mortgage Procedures.

  • Assumes and discharges any other assignments as directed.

Education and Experience

  • Post-secondary diploma, degree and/or certification in Business or Finance or an equivalent combination of education and experience.

  • A minimum of one year experience in mortgage administration with a strong understanding of residential mortgage products.

  • Strong analytical and problem solving skills with attention to detail and the ability to accurately document procedures.

  • Strong time management and organizational skills with the ability to manage multiple files and to prioritize effectively.

  • Strong interpersonal skills and communication skills.

  • Excellent verbal and written skills

  • Excellent computer skills with MS Excel and other MS Office suite.

  • Sound judgment and problem solving skills to efficiently and effectively resolve minor problems.

  • Ability to work effectively independently and within a team.

Working Conditions

  • Normal office environment.

  • Primarily sitting.

  • No travel required.

  • Some overtime may be required.
