Commercial Loan Administrator (Thunder Bay)

Position Summary

The Commercial Loan Administrator reports to the Senior Commercial Account Manager and is responsible for supporting the administration of the commercial department, providing high quality service to our internal and external Commercial members and potential members. The Commercial Loan Administrator ensures all commercial administration support provided is in compliance with relevant legislation, regulations, policies, and procedures and contribute positively to the growth of the credit union.

Duties and Responsibilities:

Administration

  • Responsible for assisting with the commercial administration process including accurate completion and oversight of the commercial lending member files and records and provision of administrative support to Commercial Administration Supervisor and the Director, Commercial Lending.

  • Administers by identifying and processing commercial lending and required member related documentation; ensuring information is accurately posted on the banking system and documented and secured as required in both electronic and paper form.

  • Supports Senior Commercial Account Manager and branches by providing assistance and support for commercial product and service related requests and inquiries.

  • Works as an integral part of the Commercial Team to provide excellent service to commercial lending and commercial account membership.

Loan Processing Function

  • Gathers information from existing and prospective Commercial members to facilitate provision of appropriate credit and commercial banking services to the member as directed by Senior Commercial Account Manager

  • Performs administrative activities related to setting up and advancing commercial lending; prepares required documentation for lending transactions; verifies, registers, renews, discharges and administers all required security and searches as directed by Senior Commercial Account Manager.

  • Maintains Commercial lending files in good order and follows up with member or Branches as necessary to ensure adherence to risk management parameters. Confers with Senior Commercial Administration Manager.

  • Supports Senior Commercial Account Manager by communicating with solicitors, issuing renewal letters, tracking annual review dates and receipt of information as directed.

  • Reviews commercial lending and member files to ensure they are appropriately authorized and documented prior to loan advance, or commercial account activation

  • Processes monthly monitoring admin function for specified member accounts.

  • Completes all correspondence/ transcribes, keys and files as necessary.

Reporting

  • Assists with completion of reports as required.

  • Updates a variety of loan reports including all internal reporting for Senior Commercial Account Manager and government and insurance reporting as needed.

Member Service Function

  • Assists with the set-up and delivery fulfilment for member online banking, operating accounts.

  • Responds to routine account enquiries from branches.

  • Provides support to the Branches and Senior Commercial Account Manager.

General

  • As part of the Commercial Services Team, provides administrative support to the branches keeping in accordance with Rapports service standards.

  • Provides administrative support in conjunction with Commercial team colleagues and the Senior Commercial Account Manager.

  • Assists with development, implementation of systems utilized for organization, recording and reporting within the Commercial administrative area.

  • Acts as a resource to staff on Commercial services and products.

  • Must be proactive in continuing education and upgrading in order to keep up to date with changes in the industry relating to job function.

Education & Experience:

  • Post-secondary education in Business or related field.

  • Minimum one year credit union experience and/or experience gained externally in financial services industry.

  • Experience working in Commercial Administration, an asset.

Knowledge, Skills & Abilities:

  • Rapport vision, mission and core values, products and services including knowledge of Commercial account openings and lending.

  • Excellent working knowledge/competence with Rapports banking system.

  • Knowledge of regulatory requirements with regard to commercial account opening.

  • Knowledge of procedures regarding credit bureaus, PPSA and Land Titles searches and registrations.

  • Proficient in the use of Word, Excel and other MS Office suites.

  • Excellent verbal and written business communication skills.

  • Time management/prioritization skills.

  • Ability to work in a fast paced, time sensitive environment.

  • File maintenance/records management skills.

Working Conditions:

  • Normal office environment.

  • Primarily sitting.
